I,Zen Jien, am a legal migrant employee in Italy since year 1995.
I applied for family Visa for my spouse, Heitzu Lin, via Internet nearly 3 years ago. The Questura of Milano also granted a “NullaOsta” for my spouse after confirming the accuracy of the documents I had submitted to them.
Subsequently on 08th February 2010, the “Nulla osta” had been submitted to an affiliate agency of Italian embassy of my country, by my spouse. On 17th June2010, the Passport along with the charges attending had been submitted to the same agency. (Please find the receipt issued by the agency, attached to this letter) although it’s been more than 6 months since the day that the documents were taken over, the Visa has still not been granted. The Embassy neither has informed us of any kind of corrective procedure we should follow.
When inquired about this matter from the agency they had told my wife to inquire it from the Embassy, when she did she’d been told to inquire from the agency.
I hope you will consider this matter at your earliest convenience and take appropriate measures to Grant Visa to my spouse and release her Passport from your hold.

Letter To Italian Embassy. Plz Correct The Grammar Make It Sound Better !! :)?

In the first paragraph, change “am” to “have been” meaning “from [1995] until now.”
“a family visa” – add “a” and make “visa” lowercase since it isn’t a proper noun (someone’s name)
“via the Internet” – add “the”
Drop the zero from “8th February.”
Simplify the sentence by changing to active voice: “…my spouse submitted the passport and payment to the same agency” – again, no capital letters.
Start a new sentence and eliminate the contraction since this is a formal letter: “Although it has been…” If by “taken over” you mean “received by the Questura,” use “received.”
You could rewrite the next sentence to make “neither” fit in, but “not” is all you need: “has not informed us…”
In the next sentence move “my wife” to precede the verb: “When my wife inquired…they told her…”
She inquired “to the agency” not from it. This will be a bit awkward but it will be clear. It would be even better to say “When my wife asked the agency about this matter…”
They “told her” not “had told her” since “had told” would refer to an earlier time than the rest of the sentence.
End the sentence where you now have a comma and make the second sentence clearer: “When she asked the Embassy they told her to ask the agency.”
In the last paragraph, “grant a visa” has no capitals and needs the word “a,” and “passport is also lowercase.

I hope you will consider and attend to this matter at your earliest convenience, and begin the appropriate measures that will grant my wife her Visa, and release of her Passport from your hold. When my wife inquired about this matter at the agency affiliate, she was told to inquire about it at the Embassy, and when she inquired about the delay at the Embassy, she was told to inquire at the affiliate agency. I hope you will consider this matter at your earliest convenience and take appropriate measures to grant a Visa to my spouse, and release her passport to her.
